Standard Move-Out Procedure

Giving Notice Of Intent To Vacate:

Please review your lease prior to moving out. Notice is required for all tenants wishing not to renew the lease. Please review your lease for more information, but  most leases specify 30-60 day advance notice.

We will use a 30 day notice in the following example of how this works: 

Please be aware, if the 30-day notice is submitted within the final 30 days, the lease will be automatically extended, and all leaseholders will be responsible for all rent due.

Example: If your lease expires May 1st, your 30-day notice is required by April 2nd. If you submit the notice on April 16th, the lease will be extended to June 1st (30 days + any additional days to close a full month cycle).

Move-Out Inspection:

Contact your property manager to schedule a move-out inspection. You do not need to be present for the move-out inspection, although it is recommended. All keys must be returned at this time. The property will not be considered vacant until we have received all keys for the property. Additional fees apply for missing keys or locks.

Security Deposit Refund

The security deposit will be refunded within 30 days after the move-out inspection has been performed, or when all keys have been returned. Any outstanding balance, damage fees, etc will be deducted from the security deposit. Please include a forwarding mailing address in your 60-day notice for the refund to be returned. A detailed list of any deductions will also be provided.

Early Termination of Lease

We understand that things happen and you need to relocate due to a new job, family matters, etc. You are, however, binded by the lease you signed and agreed to and therefore must exercise the following procedure to terminate your lease early:

  • Submit a written letter and/or email to the property manager stating your reason for leaving and departure date.
  • Allow for the property manager to begin advertising the property and prepare showings to potential renters.
  • Review and complete the move-out inspection checklist prior to departure.
  • Contact your property manager to schedule a Move-Out Inspection of the property.

The leaseholder(s) is responsible for all rent for the duration of the lease terms until the property is leased by another party. The leaseholder is responsible to maintain utility services through the expiration of their lease. The property is expected to be returned, with the exception of normal wear and tear, in the condition it was upon arrival.

All Keys are to be returned to the property manager for the property to be considered vacant. 

  • All floors swept and washed.
  • All walls & ceilings dusted, with all dirt, smudges, and grease washed off.
  • All baseboards, woodwork, and windowsills dusted and washed/wiped clean.
  • Clean all light fixtures and vent covers.
  • Thoroughly clean all bathroom fixtures, including: toilet(s), bathtub(s), showers, sinks, mirrors and cabinets.
  • Thoroughly clean all kitchen fixtures: Clean inside and outside, removing all dirt and grease, including kitchen sink & fixtures. Clean behind and between stove and refrigerator areas.
  • Clean any storage areas.
  • Replace HVAC filter.
  • Clean closets, including wipe down of shelves and rods.
  • Clean all windows, storms, screens, and return them to their proper place.
  • Remove all items from attic, crawlspace, basement, yard, shed, etc.
  • Lawn, garage, outbuildings, to be free of all trash, rubbish, cigarette butts, and personal property. Lawn trimmed and cut properly, including removal of leaves.
  • All trash and garbage to be removed from property. DO NOT PILE up garbage at the curb. Remove all garbage from property before your inspection.
  • Do not remove phone jacks, picture hooks, or curtain rods and brackets.
  • Repair or replace any broken doorstops.
  • All light fixtures are to have working light bulbs in all bulb sockets.
  • Smoke alarm(s) & CO sensors are in working order with good battery.
